THE DAILY LEVEL - The daily GoHighLevel brief for agencies

Hello there. Workflows got a big upgrade overnight. A new Router action can send one contact down every branch it matches, the AI Agent action learned reusable skills and live web search, and two premium actions now make and watch video. Pour something warm, this one is mostly about smarter automations.

In today’s newsletter, we’ll get into:

  • The new Router workflow action runs every branch a contact matches, left to right, with Always run and Fallback branches, instead of stopping at the first match like If/Else.
  • The AI Agent action now takes reusable skills, with four built-in ones such as Humanizer and Cold-email, plus a Web search toggle billed at 1 to 1.4 cents per search.
  • Workflows can now generate short videos with Google's Veo 3.1 and analyze videos with Gemini, both as premium actions charged per run.

NEW FEATURES

🔀 Router sends one contact down every branch it matches. The new Router action sits beside If/Else but checks every branch and runs each one that matches, left to right. Branches can use custom rules, always run, or act as a fallback when nothing else matched, and you drag them to set the order. HighLevel's example is one form routing a lead to HVAC, plumbing and electrical teams at once. The Router release notes cover testing on a real event.

🧠 AI Agents can now learn reusable skills. A skill is a saved procedure the AI Agent action loads only when a run needs it. You can create one with AI, write the name, trigger line and instructions yourself, or attach one from your library. Every account starts with four built-in skills: Humanizer, Write-well, Cold-email and Sms-writer. Several can load in the same run, as the Skills announcement explains.

🌐 The AI Agent action can now search online. A new Built-in tools section adds a Web search toggle, so the agent looks up facts mid-run only when it needs them. You can also paste trusted URLs into the Instructions for it to read. Each search is billed on top of the action: 1 cent with OpenAI and Claude models, 1.4 cents with Gemini. The web search changelog lists pricing and setup steps.

🎬 Workflows can now make short videos. The AI Video Generation action uses Google's Veo 3.1 in Quality or Fast mode to turn a prompt into a 4, 6 or 8 second clip in 720p or 1080p, landscape or portrait. You can add up to three reference images, start from templates and switch on generated audio. Each video lands in the Media Library with a URL for later steps. It is a premium action, see the video generation notes.

👀 Workflows can now watch videos as well. AI Analyze Video sends a public YouTube link or a direct video file to Google Gemini with your prompt and returns a text answer for the next actions, such as a summary, transcript or yes or no check. Vimeo and TikTok page links do not work. It is billed per run based on model, video length and answer length, and the Analyze Video announcement has the setup steps.

🧪 Test a workflow right inside AI Builder. After AI Builder builds or edits a workflow, its reply now ends with a Test workflow button. You enroll a contact or test with events, watch each step report back on the canvas, then read a short summary of what ran, what was skipped and what failed. Tests run the real steps and send real messages, so use your own contact. Turn it on in Labs via the AI Builder testing notes.

MONEY & FOLLOW-UP

📅 Clients can book services from the Client Portal. Clients can now browse services, book one or several, and reschedule or cancel eligible bookings without a separate booking link. Meetings and services show together under Appointments, and you choose which service booking pages appear. Switch on Allow booking from client portal on the booking page and enable Appointments in the portal app permissions, as the service booking guide shows.

☎️ Who keeps the phone number when a client leaves? One agency owner asks what happens when a client who had their whole setup built in HighLevel moves elsewhere a year later. The workflows are one question, but the phone number may already sit on the client's website, Google listing and business cards. It is a good prompt to settle number ownership in your contracts, and the Reddit thread on number ownership is open for answers.

BUILD & AUTOMATE

🗓️ The calendar view gets its own settings panel. A new Calendar view settings panel collects your timezone, grid interval of 15, 30 or 60 minutes, shading for non-working hours, hidden empty rows and buffer time display. Admins get a Staff colors tab, events can be colored by calendar, service or staff, and you can export the current view to PDF or CSV. Booking rules do not change, per the calendar view release.

📞 Running 51 local numbers in one account. A builder shares a project with 51 local US phone numbers, set up so appointment confirmations and reminders go out from a number that matches each lead's location. If you are planning local presence for a multi-location client, read how they kept 51 numbers manageable before you buy the numbers.

▶️ A walkthrough of the User Replied trigger. HighLevel posted a new video on setting up the User Replied workflow trigger, which starts automations when a contact answers your messages. Pair it with today's Router action to send replies down more than one path. Watch the User Replied trigger tutorial on YouTube.

OPEN QUESTIONS

📱 Embedded survey freezes for some iPhone users. A user who embedded a HighLevel survey form on their website reports that iPhone visitors with Safari's pop-up blocker on cannot open it. There is no error message, the page just freezes, and they reproduced it on their own iPhone. If you embed surveys, test on Safari and compare notes in the iPhone form thread.

COMING UP

🎙️ Release Radar, LevelUp edition, plus two events. HighLevel's co-founders recorded a special Release Radar breaking down the biggest LevelUp Day releases, the Founder Plan and their own favorites. On the events page, the Canadian Appliance Service Conference is listed for Oct 30 and The Big Marketing Meetup for Nov 5. Check the HighLevel events page for details.
